The best tech stack to automate your systems and ensure everything run smoothly

One of the hurdles businesses initially face is deciding which apps to use to automate and streamline their processes. Researching each potential supplier, going through demos and looking into what other similar companies use can be very time-consuming.


This is nevertheless a significant and crucial area of running your business. You need to ensure you have good processes from the onset as it directly impacts efficiency. If delayed, it becomes a beast of a project to implement, costing you more time and money.


With the experience of working with several clients over the years, we have identified the best tech stack for you to implement in your business.


  1. XERO Xero is genuinely the best accounting software for most startups or small/medium businesses. The next best jump for tech companies that outgrow Xero is generally Netsuite.

  2. Dext (formerly Receiptbank): You don’t want your finance team wasting time manually inputting data from invoices. Dext can do this for you automatically and so much more:

    1. Smart supplier rules: - Once you set an account code for a supplier Dext will automatically allocate all future invoices from that supplier to that code.

    2. Use it for sales invoices: - you can ensure all invoices generated in systems like Stripe are automatically added to your accountancy system using Dext.

    3. Use it with email forwarding/Zapier: You can turbocharge your invoice automation using email forwarding. This ensures all pdfs with the word “invoice” in the email body are automatically forwarded to Dext using your dext email address. Additionally, you can use Zapier to act as a bridge between an invoicing system and your accountancy system.

    4. Create a google group “invoices@yourcompany.com: and ensure all invoices are sent to dext automatically.

  3. Chaser: This is the best way to automate your credit control with highly customisable emails which appear to come from your own email account. You can create a chaser sequence and watch your debtors fall each month. Here’s a top tip - occasionally change the email messaging so your suppliers don’t cotton on to the fact that you’re using an automated system. This system will genuinely save so much time in your business!

  4. Spendesk: This is an all in one platform for employee out of pocket expenses, company debit cards, virtual cards & tools to help your finance teams retrieve invoices from users. It has various levels and types of authorisation to ensure that company money is spent using the proper controls. It works well with Xero and has a great UI (user interface).
